Abstract

Technology is essential for organisations so that the staff can give their best at work. Payment Tracking System for Sarawak Rural Area Water Supply Department is an online-based system being developed to help account department staff to track payment and record bill data. This system benefits in reducing the risk of data loss and save time. More bill is coming and record it using online system is an efficient way as the report can be generated. The current system is being done using Microsoft Excel that has limited features, so it needs to be centralized to reduce the workload in manage the bill. Problems that staff faced is they are overlooking at the wanted information since they need to scroll down at a numerous data in a single sheet and they might overlook at the details they are looking for. Since the same contractors have different voucher number, staff might enter or change information wrongly when they are not alert on the detail. This method also consume time as staff need to look one by one at the contractors’ detail to make sure no mistakes being made. Staff also find it is hard to view the information as they need to look carefully at upper, middle and bottom part of the sheet and sometimes they need to look again when they need to track the contractors’ details to make sure they track the correct payment for the correct contractors. While updating the data, staff might accidentally delete other existing information which leads to lose record of data. To help account department staff that are assigned to record and track the payment in more efficient way, a system called Payment Tracking System for Sarawak Rural Area Water Supply Department will be developed. This system will enable them to record the bill, edit bill, delete bill, track payment, generate report and able to visualise the payment made. This project will follow the methodology of Rapid Development System (RAD) to help with the process and flow of the project. In general, this project goal is to enhance efficiency for the staff to track payment with less problem faces.
